Terms and Conditions of Sale

These Terms and Conditions apply to all purchases made through our website: www.top-refrigerantsupplier.com. By placing an order, the customer accepts these conditions, which apply both to the current and all future orders unless otherwise stated.

We reserve the right to modify these Terms and Conditions at any time without prior notice. It is the responsibility of the customer to review them before making a purchase.

The interpretation and enforcement of these Terms shall be governed by EU law.

Parties Involved

Seller: top-refrigerantsupplier.com
Customer: Any individual or business purchasing goods or services through the website. Customers are responsible for the accuracy of the information they provide.

Regulations on Fluorinated Gases (F-Gas 517/2014)

Sales of fluorinated gases are regulated by EU Regulation F-GAS 517/2014. Gases with a Global Warming Potential (GWP) over 1400 are subject to restrictions.

Customer Responsibilities:

  • Provide a valid fluorinated gas handler certificate at the time of purchase.

  • If the certificate is not provided, the customer must declare the use is outside the scope of Regulation 517/2014 (Art. 10). The customer assumes full legal responsibility for false declarations.

  • All transactions are logged and accessible to EU authorities upon request.

  • Check local regulations and tax obligations regarding fluorinated gases before ordering.

If company or tax details are incomplete or incorrect, the order may be canceled and refunded.

Orders

Orders must be paid within 48 hours. Unpaid orders will be canceled automatically.

We reserve the right to cancel orders due to:

  • Typographical or pricing errors

  • Changes in manufacturer pricing or product availability

  • Orders with 0€ pricing, which are considered errors

You may confirm any canceled order by contacting us via email.

Payment Method

All payments must be made by bank transfer.
Prices listed do not include VAT or other taxes as we operate as an intra-community business.

We reserve the right to cancel and refund orders suspected of being fraudulent.

Shipping Policy

Carriers Used: DHL, SEUR, DPD, UPS, TIPSA
Operating Days: Monday to Friday (excluding holidays)
Delivery confirmation is made upon customer signature at delivery.

Estimated Delivery Times:

  • Spain & Portugal: 24–72 hours

  • France: 2–3 business days

  • Italy, Germany, UK, Austria, Belgium: 3–4 business days

  • Greece: 5–6 business days

  • Czech Republic & Slovakia: 4–5 business days

Note: UK and Greece require a custom quote.

Shipping is to the building entrance. For delivery to an upper floor or specific room, additional fees apply.

We are not responsible for:

  • Delivery delays caused by incorrect shipping data

  • Failed deliveries due to recipient absence

  • Damages or losses caused by the shipping company (insurance is not included)

During peak seasons, delivery times may increase.

Invoicing Requirements

In compliance with EU Regulations (F-Gas 517/2014; 573/2024), the following documentation must be submitted within 3 days of order:

  • Signed and stamped F-GAS Purchase Declaration

  • Valid gas handling certificate (if applicable)

  • Valid VIES/NIF (for intra-community transactions)

Failure to provide documentation will result in the cancellation and refund of your order.

Invoices will not be issued:

  • If company details were not submitted correctly at purchase

  • More than 30 days after the payment date

Warranty Policy

Air Conditioning Units:

  • Covered by a 2-year legal warranty

  • Must be installed by a certified professional

  • Required documents: installation certificate (minimum 6 months), authorized installer certificate, and installation invoice

Warranty coverage is based on supplier/lab inspection and excludes:

  • Physical damage

  • Improper use or voltage

  • Unprofessional installation

Warranty void if:

  • Purchase details are tampered with

  • Device ID is altered or repaired by unauthorized personnel

Returns must be shipped by the customer with their preferred courier and at their expense.

Gas Container Conditions

  • Warranty is valid only if the seal is intact

  • Kit pressure indicators are valid only if there’s no sign of overpressure

  • Weight variations are acceptable within a 2.5% tolerance due to temperature fluctuations

Returns and Cancellations

  • Customers may return products within 14 days of delivery

  • Items must be in original packaging and unused

  • Return shipping costs are borne by the customer

  • Opened refrigerant bottles will not be accepted

  • To initiate a return, contact us by phone or email

Installed products are not eligible for return or refund.

Damaged Shipments

If your order arrives damaged:

  • Notify the carrier within 24 hours

  • Contact us with photos and details
